FAQs

Additional FAQs and responses will be released as conference planning proceeds.

The CIES 2022 Conference Experience

I’m presenting onsite, in Minneapolis, what technology will be available?

Each onsite conference room will be equipped with a large screen, laptop, and WiFi access.  Tech support will not be available. It is unfortunately too expensive for us to provide onsite technical support.

Our panel will be presenting onsite, in Minneapolis, yet one of our panelists will be virtual, can they still present?

Yes! This is a hybrid approach. Someone on your panel must give the virtual presenter a personal Zoom link. The virtual presenter can connect via that personal Zoom link. The session chair will be responsible for figuring out how to virtually include any panelists who are not onsite. It will be up to the panel organizer to use their own Zoom account to bring in virtual panelists. Tech support will not be available. It is unfortunately too expensive for us to provide technical support to such mixed panels.

I registered as an onsite, in Minneapolis, presenter/attendee, what conference components do I have access to?

As the first in-person (and hybrid) CIES conference since 2019, we will offer special programming and significant opportunities for informal networking, author-to-author exchange, and a chance to meet up in person and virtually with colleagues and mentors. In addition to onsite sessions and events, onsite participants and attendees will have access to the following virtual experiences:

  • Online Poster Sessions
  • Online Book Launches
  • Online portion of Film Festivalette
  • Pajama Panels (virtual sessions)
  • Zoom Socials

For more information, click here

Who has access to the Pajama (virtual) Panels?

All registered onsite and virtual attendees and participants will have access to the Pajama (virtual) Panels.

I registered as a virtual presenter/attendee, what conference components do I have access to?

Those registered on the virtual platform will have access to all Pajama Panels as well as the following plenary sessions being held in Minneapolis:

  • Conference Launch and Closing Ceremony
  • Morning Meetings to include CIES Awards Ceremony and the State of the Society Meeting
  • Presidential Address and Keynote Speakers
  • Community Celebration and Thursday’s Special Session.

For more information, click here.

We had to change our mode of presentation (onsite to virtual or virtual to onsite), when will the conference program reflect our change request?

A new program will be available online by the end of March. You can also log into All Academic and view for changes.

What is the virtual platform for CIES 2022?

The conference virtual platform, known as the Hub, will be available to all registered participants and attendees. Stay tuned for an email approximately one week before the conference start state. Instructions will be provided,

Be prepared to access the Hub! Do not wait until the last minute to log in for the first time. Make sure you have access to a continual and strong Internet connection and that you can log in. The more people that wait until the last minute and have issues, the fewer people we can help in a timely manner.

Will there be a printed program? How do I make a personal schedule?

There will not be a printed program available during the conference in Minneapolis.
You can create a Personal Schedule for everything you want to attend by logging in to All Academic.

Will childcare be available at the Hyatt in Minneapolis?

Unfortunately, due to COVID-19 protocols by the Hyatt, childcare will not be available.

Will you be giving out tote bags in Minneapolis?

No. We are increasing our eco-friendliness for CIES 2022 and will not give out tote bags in Minneapolis.  Feel free to bring your own from home or purchase from the CIES 2022 online store.

By April 15th, if you’re part of a Book Launch, and want to upload a video, click here.

Other presentations do not have to be submitted or uploaded in advance.

When are the Pre-Conference Workshops?

Monday, April 18th.

CIES 2022 Conference Registration

How much will registration cost?

Click here to view the CIES 2022 conference fees.

Do I have to register for pre-conference workshops?

Yes. If you wish to attend a pre-conference workshop (or two or three) you should indicate that on your online registration. For only $25 you may attend up to three pre-conference workshops during the day (i.e., one in every time slot).

Why isn’t the conference free for virtual participants?

It costs money to put on a conference – even a virtual conference. There are costs associated with the submission system, websites, and storage for recorded sessions, Zoom licenses, and many other things.

Do you need to be a CIES member to submit or participate in the CIES 2022 Conference?

Yes. All presenters must be members of CIES for 2022. Submission is open to everyone, however, you need to join CIES if your submission is accepted.

Attendees who are not presenting may attend and pay the non-member registration fee, although it is financially beneficial to join CIES and register as a member.

I have a disability. How do I request accommodations?

Please email us at cies2022@cies.us as soon as possible. We will do our best to accommodate you.

What kinds of disability accommodations will be available?

For virtual sessions, the automatic closed captioning in Zoom can be used. If other accommodation is required, please contact us at cies2022@cies.us.

When will registration open?

Registration for attending the conference on-site and virtually opens December 17, 2021.

Can I purchase a one-day pass to attend the conference?

No. As a hybrid conference, there is no way to monitor one-day access to the conference.  Since the HUB will be open for the duration of the conference, and even if you were onsite, one day passes can be abused leading to people who have paid full registration to subsidize the others. Yet, there are many great things happening, both onsite and virtually, and we hope you will find it money well spent to attend the entire conference.

Why are the registration prices different for virtual and onsite participation?

The prices are higher for the onsite registration as those in Minneapolis will have access to onsite sessions, events, and opportunities for engagement. Please note that those only attending virtually will not have access to onsite only concurrent sessions. We have calculated that approximately 65% of the conference is available virtually, and as such, registration fees for virtual are 65% of the entire conference.

For the DRAFT onsite conference schedule, click here.

I may need to cancel. What is the refund policy?

For individuals registered at Low Income Country rates, the cancellation fee will be waived if the request is made by March 17, 2022.

Refunds will be issued in the same form in which they were received. In the case of wire transfer refunds, a $20 wire transfer fee will be withheld from refund amount. No refunds will be issued after March 17, 2022.

Which countries are considered Low Income or Lower-Middle Income countries?

Discounted registration is available to those from the World Bank classifications of “low-income” and “lower-middle-income economies.” To be eligible for registration at these CIES Member rates, you (1) must have residency in-, (2) must be currently living in-, and (3) must be a citizen of- a qualifying country. All three requirements must be met in order to receive the discounted rate.

What time zone is on the All Academic program?

Can I get a discount for registration?

The CIES Board of Directors will offer a limited number of discounts on conference registration fees. The CIES Board of Directors will communicate information regarding the application process via the Weekly Announcements and we will share the information when it becomes available. Unfortunately, no discounts on membership fees are available.

If I’ve paid my registration and am unable to attend, can I transfer my registration to someone else?

Yes. You may be able to transfer your registration but not your membership. You need to request the registration transfer in writing to cies2022@cies.us with the name of the recipient. The recipient’s membership and presentation statuses will be verified. The deadline to transfer is March 15, 2022.

CIES 2022 Proposal Submission

When will I be notified if my pre-conference workshop, book launch, or art exhibit is accepted?

Notices will be sent via email in early December, 2021. You can also access the letter by logging in to All Academic. You will find all communications of the CIES2022 Conference Team in the “Message Center” under “Main Menu”. (Check your spam folder and mark All Academic emails as safe. It is important that All Academic communications reach you in the future.)

When can I submit a proposal?

September 29 – October 27, 2021. Access the submission proposal portal here.

When is the submission deadline?

11:59 PM (Eastern Time) on October 27, 2021.

How do I submit my proposal?

Please use your CIES Membership ID and password to log into the All Academic System to submit your proposal. If you are not a CIES Member, create a Guest Account and you will still be able to submit a proposal.

It’s my first time using All Academic. Are there instructions?

Yes! We have developed instructions on how to use All Academic in case you are new to the system.

Is there a limit to the number of times I may present?

Yes. Presenters are limited to one presentation in paper, panel, roundtable, or poster sessions. This one-presentation limit does not apply to book launches, pre-conference roundtables, New Scholars workshops, or other roles such as chairs, organizers, or discussants.

If I miss the deadline, can I still submit for CIES 2022?

No. Late submissions will not be accepted.

If I miss the submission deadline to present for CIES 2022, can I still attend the conference?

Yes! Information about CIES 2022 conference registration will be posted on cies2022.org. Stay tuned for updates.

Can I submit a bilingual presentation proposal?

Yes! CIES represents over 100 countries, reflecting a membership with extensive multilingual resources. The Language Issues SIG will provide support to multilingual presenters with abstracts and presentations, as they are able. For more information or to volunteer to help support bilingual proposals/presenters, please contact LI-SIG co-chairs: Bridget Goodman bridget.goodman@nu.edu.kz and Sandro Barros barross1@msu.edu.

Can high school students submit proposals for the CIES 2022 conference?

Yes! High school students are welcome to submit research papers. We recommend that high school students indicate their level in the proposal (Don’t name yourselves, just say “presenter(s) is(are) high school student(s)” so we take that into account while reviewing the proposal.)

If my paper or session has been presented at another conference or published, may I also submit it to CIES?

No. Eligible submissions are those that have not been previously published nor presented at another professional meeting.

I would like to submit a paper from my thesis – I have not presented or published these findings anywhere before. Am I eligible to submit?

Yes. Note that a thesis or dissertation has a broader focus than can be presented in a conference setting. Revise your work to prepare a focused (12-15 min) presentation.

May I submit to multiple SIGs or Committees?

No. Submit your proposal only once. Your name may be on multiple proposals, but only once as a presenter.

May I submit a proposal to present research I’m working on that’s not complete?

It is best to present completed or nearly completed work. It is not a good idea to present on research that is in early stages.

I’m not sure which CIES SIG or Committee to submit to, or whether I should submit to the General Pool. What should I do?

Read the descriptions of each SIG to get an idea of where your work would fit best. Topics that do not fit a SIG or committee can be submitted to the General Pool. Also, submitter’s sometimes submit to the general pool when they want the audience to be broader than a SIG or Committee.
Learn more about Regional SIGs here.
Learn more about Topic SIGs here.

Will submitters be able to request specific times to present?

The location of the presenters will be used in scheduling sessions. We will try our best to schedule sessions that are reasonable for the presenters’ time zone. We will add earlier and later session times to accommodate those presenting virtually. We cannot guarantee that you will have the exact time you want for your session.

Is there a word limit for proposals?

Yes, different formats of submissions have different limits. Read the Submission Information and the Call for Participation for more information.

I’m getting ready to submit my Formal Paper Presentation (Individual Submission) proposal, how will on site and virtual selections be grouped into panels?

For our hybrid conference, individual papers will be grouped with other individual papers to form panels.  If you select “ON SITE” you will be grouped with other “ON SITE” papers and we will schedule your session for the conference hotel.  If you select one of the two Pajama Panels (virtual), you will be grouped with similar papers and will be scheduled to present virtually.  These created panels will be either on site or virtual and will not be mixed.  Please also be aware that all on site sessions will only be limited to on site audience members. Learn more here.

We’re getting ready to submit our Formal Panel Presentation (Group Submission) proposal, what are our presentation options?

For our hybrid conference, if you are proposing a panel, the following options are available:

  1. You and your panelists can all be on site, and if you select “ON SITE” we will schedule your session at the conference hotel.
  2. You and your panelists can all be virtual and you can select one of the two Pajama Panel slots and you will be scheduled virtually.
  3. Some panelists are on site and others are virtual – in this case, the panel organizer will be responsible for figuring out how to virtually include any panelists who are not on site. It will be up to the panel organizer to use their own zoom account to bring in panelists as might have been the case in prior years at conferences. It is unfortunately too expensive for us to provide technical support to such mixed panels. Please also be aware that all on site sessions will only be limited to on site audience members.
